VENDOR INFORMATION AND APPLICATION

May 1, 2020: As you know, craft fairs like Christmas in the Manger take a lot of advance planning. The uncertainty of what lies ahead makes it a challenge for our organization and crafters like you. None of us truly know what the COVID-19 rules for public events will be in the late fall.

 

We are continuing to plan for this year’s event recognizing that the situation may change in the coming months and that we need to be flexible in our planning. We want to offer you the opportunity to register for Christmas in the Manger now so we have posted our online application form and waived the $25 registration fee for this year’s event.

 

The North & South Saanich Agricultural Society (Saanich Fair) is committed to respecting the guidance of the Provincial Health Officer, Dr. Bonnie Henry, and the Government of BC. In order to keep vendors up to date we plan to post a monthly e-newsletter to keep you informed of any changes.

 

May 6, 2020: Thank you for your interest in the 2020 Christmas in the Manger Craft Fair.  While we are planning for a successful event, realistically, we understand that it will not look the same as our past Craft Fairs as we integrate social distancing into our plans. The health and safety our vendors, staff, volunteers and the public are foremost in our mind.

 

Given this uncertainty, we will maintain our Early Bird, Regular and Late registration dates but we will not process payments until September 30, 2020. We are unable to guarantee approval prior to that time since social distancing and mass gathering guidelines will likely change, resulting in revised requirements for the Craft Fair.

 

By completing and submitting your online application in its entirety by the dates indicated on the Saanich Fair website, you are guaranteeing the posted rate. If you submit your complete application by June 15, for example, you will be guaranteed the Early Bird rate.

 

The 2020 Christmas in the Manger Craft Fair planning committee is committed to following the guidance of the Provincial Health Officer, Dr. Bonnie Henry, and the Government of BC.

The Saanich Fair takes pride in the Christmas In The Manger Craft Fair. 

We showcase local artists, makers and growers and the high level of quality handmade goods they produce here on Vancouver Island.

We strive to provide an incredible shopping experience before the holidays!

DATES:

Saturday, November 28: Craft Fair is open 10:00 AM - 4:00 PM

Sunday, November 29: Craft Fair is open 10:00 AM - 4:00 PM

SET UP: Friday, November 27 between 12:00 PM - 8:00 PM

TAKE DOWN: Sunday, November 29 after 4:00 PM

GENERAL TERMS AND CONDITIONS

PRODUCTS

*Please note that we will not be accepting Multi-Level Marketing (MLM)/Direct Sales companies.*

All products sold at the craft fair must be designed and handmade or homegrown by you.

Only products outlined in this application will be sold.

 

BOOTH SPACE

 

  • We have multiple buildings that house our fair. The booth sizes are approximately 10 x 10 feet in the RCMP Barn and approximately 8 X 6 feet in the Main Building.

  • We will do our best to accommodate specific booth requests, but no booth assignment is guaranteed.

  • We provide tables and chairs and access to power if requested.(see form)

  • The vendor is responsible for providing the power cables, staging and backdrops if required.

  • Booths are for one artist, maker or grower only and may not be shared without approval of Saanich Fair.

  • You or your representative must be in your booth for the duration of the market. You are required to have sufficient stock for both days.

  • Vendors will receive two (2) wristband passes for the weekend.

Completed applications and payment in full must be received by the deadline listed in order to receive corresponding rate.

    1) Early Bird Deadline JUNE 15, 2020

$136.50*

    2) Regular Deadline SEPTEMBER 15, 2020

$162.75*

    3) Late Deadline NOVEMBER 1, 2020

$199.50*

PAYMENTS:

 

We will maintain our Early Bird, Regular and Late registration dates but we will not process payments until September 30, 2020.

To make payments we accept:

  • Visa and MasterCard: call the office at 250-652-3314 (Monday to Friday 9 to 4). 

  • E-Transfer: please call the office for account details.

  • Note: our office may be closed to the public due to COVID-19. We will still be answering the phones but please do not come into the office in person. All current announcements you will always find on the front page of this website.

 

JURY PROCESS:

New Vendor: Your entry will be juried by a panel of experienced local artisans and you will be contacted if you are accepted.

Returning Vendor with new items: The jury process will include your new items.

WHAT TO EXPECT FROM US:

  1. A venue in the heart of the agricultural community with free and ample parking for your customers.

  2. Signage in a variety of locations spread out across the Peninsula.

  3. Advertising in print, radio, social media and a listing on our website.

 

SALES OR LOSSES:

The organizer makes no representation or warranty about your individual sales or success at the show.

PERMITS AND INSURANCE:

You are solely responsible for obtaining all permits, licences, insurance and approvals necessary to sell your products at the show. You may be required to provide this documentation to Saanich Fair upon request.

CANCELLATION POLICY:

After September 30, if the Craft Fair committee postpones the fair until 2021 due to Covid-19 restrictions, we will return all payments within 30 days.

If you choose to cancel after you have been approved and we have processed your payment, please be advised:

 

  • Cancellations prior to 4 pm on October 30, 2020: you will receive a 50% refund of the total fee.

  • Cancellations after 4 pm on October 30, 2020: no refund will be issued.

 

*Notification of Cancellation must be received by email. The date on the email will be used to determine whether you qualify for a refund.*

Prepare 2 good photos of your products

You have spent a lot of time preparing your products to be ready for sale. It’s up to you to capture effective images of your products.

Consider the following:
 
1. Edit in the photo editor: change the light if needed and crop it into a square.

2. Label your best two photos with either your company or your last name and number them. Example: "goodgrower1.jpg" or "johnhansen2.jpg"

 

3. In the future, if we need more photos, we will contact you.

Prepare a catchy, short biography of who you are and what you make 

You want to catch the consumers attention, so be thoughtful on how you wish them to read about you.

The application will ask you to submit a written biography (max. 350 words) that may be used to promote the craft fair.
